The work of Finance and Administration is to act responsibly and account for monies and human capital that are entrusted to purpose the work of UMW. Staff of Finance commits to working with integrity and care to fulfill fiduciary responsibility.

 

Position Summary

The Grants Associate supports the Grants office by assisting in the implementation, administration, and monitoring of scholarships and grants, disbursements and reporting, processes and communications; maintaining applicant and scholar information; providing information and resources to both staff and membership; and providing general administrative support to the office.

Scholarship and Grants application administration

  1. Coordinate grant application and pre-screening process

Endowments

  1. Ensure proper notification to and documentation of recipients of endowment funds, including institutional and custodial funds.

Reporting

  1. Work with grant and scholarship recipients to ensure timely receipt of grant reports
  2. Organize data from grant reports and communicate findings with staff
  3. Create an information book with bios of scholarship recipients

Fund Disbursement

  1. Ensure all endowment, grant and scholarship payments are processed, tracked and accurate

Internal Audits

  1. Coordinate internal audit process in conjunction with GBGM auditors on organizations receiving grants

Database

  1. Work cross functionally with SOMO staff to maintain accurate contact, funding and other relevant information regarding National Mission Institution, International Partners and other funded partners.

Other

  1. Ensure accurate record keeping with electronic and paper records for endowments, grants, and scholarships
  2. Coordinate meeting preparations and minutes for scholarship, grants and UMW Scholarship and Grants Committee meetings
  3. Other related duties as assigned.

Special Consideration
This position requires contact on a regular basis with individuals and groups which are not part of the church’s official structure. QUALIFICATIONS

  • Associates or Bachelor’s degree required
  • 4-5 years’ equivalent work experience related experience performing the duties of the job may substitute for the degree requirement on a year-for-year basis.
  • Demonstrated knowledge of office procedures, programs, (contributions, scholarships, etc.); personal computers and associated standard office software, basic customer service standards and principles; other office resources and equipment including phones and telecommunication systems, fax machines, copy machines
  • Demonstrated ability to develop and maintain effective working relationships; effectively communicate verbally and in writing; provide effective and responsive service to customers and contacts; perform all assigned tasks efficiently and accurately and create and maintain accurate records; prioritize and manage multiple projects or change priorities quickly; operate a variety of office equipment; identify and resolve problems or issues with students, staff and clients.
  • Demonstrated knowledge of Financial/Razor’s Edge is a plus.
